Till
Answers about working with the Count-IT till every day, from checking out a sale to the cash count at the end of the day.
How do I check out a sale on the till?
You add products, choose a payment method and complete the transaction. Step by step:
- Log in with the correct user and check the till, department and opening count.
- Add products with a button, the search function or the scanner.
- Select a customer if a price agreement, loyalty points, an invoice or customer registration is needed.
- With the right permissions, adjust discount, price, quantity or note.
- Choose a payment method; with split payment you can use several.
- Complete and choose receipt, email, invoice or order, depending on the configured action after completion.
With Action after completion you decide whether the till lets you choose, prints automatically or closes without printing.
How do I put a product on the till as a button?
Open the product and switch on Button on till. If the product should appear under a product group on the till, that group must also be set up as a till button.
If the button does not appear, check the chosen till layout and the product limit per group. For a product whose amount you enter at checkout, switch on Is open amount on the product; the employee then needs permission to enter a price.
How do I arrange the action buttons on the till?
The white action buttons next to the product buttons, such as line discount, note, return, on hold and find receipt, come from an action button layout. Open Till settings › Action buttons and open or create a layout.
Use Add button to choose an action. Drag buttons to change the order, double-click to edit a button (own name, text and background colour) and use the bin icon to remove a button.
You can create several layouts. Choose the layout on the Buttons tab under Layout (Action buttons), optionally per branch. Layout (Action buttons, this system) applies only to the device on which you save the setting. Some buttons only appear when the feature is active, such as weighing, tables, gift cards or loyalty points.
How do I give a discount on the till?
You give a discount with the discount buttons in the action button layout: on one line or on the whole receipt, as a percentage or as an amount.
For a fixed discount, choose Line discount % (fixed value), Line discount € (fixed value) or Total discount % (fixed value) when arranging the buttons, and enter the value, for example 10. The button then applies the discount immediately without asking for an amount. A fixed amount follows the till’s price display (including or excluding VAT).
Products on which no discount is allowed are refused or skipped. To protect manual discounts, set a Till discount code.
Which payment methods can I use on the till?
Payment methods in Count-IT can include cash, card/terminal, virtual, app, gift card or direct debit. You set them up yourself and decide per method, among other things, the cash drawer, end-of-day closing, journal, general ledger account, department, terminal and restrictions.
A card payment via a payment terminal has two parts: a payment method in Count-IT and a linked terminal or app. You can read which terminals are supported in the Hardware topic of the knowledge base and on the Hardware page.
Can a customer pay with several payment methods?
Yes. With split payment you check out one till transaction with several payment methods, for example partly cash and partly by card.
Switch on the split payment buttons, choose the first payment method and enter the partial amount. Repeat this for the remaining amount and only complete when the total is correct. The “same amount” button speeds up a cash or partial payment of the remaining amount.
How do I set up gift cards?
You create a gift card product, choose the barcode behaviour and validity, and check the financial booking. Gift cards can be issued with or without a barcode, optionally with an expiry date.
In the financial settings you choose the Gift card product, whether the barcode is created automatically and the default validity. A separate product and the right financial set-up prevent the sale and redemption from both counting as revenue. A gift card can be printed as a document or label.
Internal Count-IT gift cards do not need an external provider. External vouchers can be checked via a supported voucher provider, such as Intersolve; that provider must then be active and linked to a payment method.
How do loyalty points work?
Customers collect loyalty points when they buy and redeem them later as a discount. To collect points, a customer must be linked to the transaction.
In the loyalty points settings you decide, among other things, the value per point, how many points a purchase earns, the rounding, whether points are redeemed automatically (from what amount and up to what maximum) and whether discounts and campaign products also earn points. Create a loyalty points product if needed; it represents the redemption on the receipt.
Switch on the customer display on the till and test collecting, redeeming, returns and discounts with a test customer.
How do the cash count and end-of-day closing work?
With a cash count you count the money in the cash drawer, at the start and at the end of the day. A cash count can be done in total, per user, per till or per department.
In the settings you decide, among other things:
- whether the opening float must be counted and whether counting is mandatory;
- whether only a total amount is asked for instead of coins and notes;
- whether the opening amount is pre-filled with the previous closing balance;
- whether you get a warning for counts that have not been closed;
- whether 1 and 2 cent coins are used.
If the card total differs, compare the payments in Count-IT with the report from your terminal or provider for the same period, and only write off a difference once the cause is known.
How do I record money added to the till from the safe?
Use From safe to till. For your cash payment method, switch on Show from safe to till under Financial; by default it is set to No.
At the closing count, the field From safe to till then appears above the counting fields. Enter the total amount added to this till from the safe since the opening count, and count the money present including that top-up. The amount increases the expected cash balance without creating revenue or a cash difference, and stays visible in the saved count, printout and export. The next opening balance takes the top-up into account.
How do I record a cash expense or cash withdrawal?
With cash expenses you record money that leaves the cash drawer, for example for a small purchase. To do so, switch on Cash withdrawal in the till settings; the function to record money taken from the drawer then appears.
With Include cash expenses in total you decide whether the expenses count in the cash count. How they are booked financially is set under Cash expense registration.
Can I protect risky till actions with a code?
Yes. You can set a code for cancelling, cancelling a payment, returns and refunds, among other things. The till then asks for that code before the action.
Under Till settings › Security you can set, for example, Refund - Code. The till asks for this code before every negative payment, regardless of the payment method. With a wrong code or cancel, the payment does not go ahead; an empty field switches the check off. The code for Return line is a separate setting. Reload the till after changing it.
You can also protect manual discounts with a Till discount code and manually opening the drawer with a login code.
How do staff switch quickly on the same till?
Switch on account switching; authorised users can then quickly switch accounts on the till. With the till setting Switch employee you show account buttons, and you can set the first-name display and the number of columns.
If you want staff to log in again after every transaction, switch on Lock after checkout. With Show “Served by” you record which employee helped the customer, and Save receipt per user links receipts to the active user.
How do I change the text or logo on the receipt?
Open the printer layout of the receipt printer, change the header, footer or logo and save. Then test on the actual device; some printers require the logo to be loaded into the printer software as well.
In the till settings you choose which details appear on the receipt, such as item number, short description, unit, barcode, customer details and payment details. Use Number of receipt copies to print extra copies. To offer the receipt digitally, switch on Email receipt or the PDF option after completion.
What can I show on the customer display?
The customer display shows the customer the products, prices and total of the current transaction and, outside a transaction, optional promotional or information slides.
In the customer display settings you adjust the font size of the product name, price, total, slide title and text, and of the weight display for weighed products. You can hide prices by default, choose an on-screen keyboard and decide which customer messages and slides are shown.
How do I process a return or refund on the till?
Preferably open the original transaction and return the correct line and quantity from it. You can also use the product return function.
- Select the line to return and the quantity.
- Choose the same refund method or the one required for your accounts.
- Check stock, the cash drawer and any payment terminal.
If a final invoice has already been created, use a credit note rather than changing the invoice. If refunds are protected with a code, the till asks for that code before the negative payment.
Can I sell on account at the till?
Yes. You can complete a till transaction as an invoice or order instead of taking payment straight away. Select a customer for this; with Customer required you block checkout without a customer.
With Process on account as you decide whether the till uses an order, invoice or another configured route. With Complete without payment and Complete unpaid transaction as invoice you turn the outstanding amount into an invoice. Optionally, Email invoice automatically sends the invoice straight away, and for an order the till asks for the delivery time and notes.
With Add transaction description to invoice on account under Settings › Financial you include the receipt’s description on the invoice.
