Reports

With the dashboard and reports, Count-IT gives you insight into turnover, margin, stock and the POS. Which reports you see depends on your subscription and user rights.

Which reports does Count-IT have?

Count-IT has reports for sales, finance, stock, delivery and production. Depending on your rights, you will see, among others:

  • turnover and transactions;
  • sales per product, product group, supplier, payment method or sales channel;
  • margins;
  • cash flow and cash differences;
  • invoices and outstanding items;
  • stock overviews, stock valuation and order advice;
  • delivery and production lists;
  • customer, commission and supplier reports;
  • calendar, repair, training and scorecard data.

See all options on the features page.

What does the dashboard show?

The dashboard shows the key figures and signals in blocks, such as turnover, POS status, invoices, orders, calendar, tasks, repairs, trainings and synchronisation errors.

You only see the blocks you have rights to. Filters and VAT display can differ per block from the general financial setting. With Monthly target and start date in the POS settings, you feed the target display on the dashboard. Turnover per weekday is based on the transaction date; averages are divided by the actual number of times that weekday occurs in the period.

There is also a dashboard block for suspicious employee activity.

How do I view my turnover per period?

In the turnover overview you view turnover and transactions per period, and download a turnover PDF for a selected or custom period.

The weekday breakdown in turnover reports and period PDFs is based on the transaction date. With the setting Sort order of turnover components you sort payment methods, groups, products and suppliers by transactions, turnover, name or code, and with Supplier in turnover report you add the supplier as an analysis dimension.

Seeing old amounts in a turnover PDF on your phone? Generate the PDF again and open the file you just downloaded; a previously saved PDF does not update.

How does the Sales analysis work?

The Sales analysis shows your sales per product or group, based on the source you choose with the Based on filter.

You choose sales invoices, sales orders, POS transactions, a combination of these or stock movements. With combined sources, POS sales that were later processed in an order or invoice are not counted twice. Based on stock movements, only quantities are available.

You can select several product groups at once, show the current stock as an extra column when grouping by product, and use Show totals to put a totals row at the top. Under Export you download or view a PDF; the print button is next to it.

How does Count-IT calculate the margin?

Count-IT calculates the margin according to the Margin calculation setting: as a margin on the selling price or as a mark-up on the purchase price.

With Base margin on POS receipts plus orders or invoices you decide which sales sources are included in margin reports. The margin report uses the same totals display as the Sales analysis, including the Show totals option.

Make sure the purchase prices of your products are up to date; without a correct purchase price, the margin is not reliable.

Which stock reports are available?

Count-IT has stock overviews and stock valuation, as well as the Stock turnover and Write-offs reports.

The order advice uses stock and sales data to propose purchase orders; you check and approve the purchase order yourself. Count-IT can also periodically send an email with products below minimum stock.

Read more about stock management on the retail page.

What are the delivery list and the production list?

The delivery list and the production list show which products you need to deliver or produce for open orders.

Click a product to see the related orders. The pop-up shows the order number and quantity for each order; the delivery list also shows the customer name. In the production list the customer name is hidden by default: set Show customer to Yes under Settings › Orders › Production list to show the customer column.

Lines without an existing product are not included in the delivery list, not even in the PDF or Excel output.

Where can I find cash counts and cash differences?

Saved cash counts can be found in the cash count overview, with the count, printout and export. Cash differences also appear in the cash flow report.

Cash counts can be done in total, per user, per till or per department, with an opening and closing count. If you use Show from safe to till for a cash payment method, that top-up remains visible in the saved count, printout and export, and the overview shows the From safe to till column.

Can I export reports to PDF or Excel?

Yes. Many reports and overviews can be exported to Excel or CSV, and reports such as the Sales analysis can also be downloaded or viewed as a PDF.

An Excel export contains up to 10,000 records, or 20,000 for POS transactions. Count-IT counts the records actually exported after filters, search text and selection; when exporting per receipt line, each receipt line counts as one record. If your export exceeds the limit, reduce the selection or choose CSV.

Export failing? Try a shorter period or smaller selection and check your rights.

Can I receive POS transactions and invoices automatically by email every day?

Yes. Count-IT can automatically send a daily export of POS transactions and of sales invoices by email, for example to your accountant.

The daily POS transaction export contains one line per receipt line. With the field Supplier (Export) you decide whether Supplier - Code and Supplier are included; these columns show the product's main supplier, or a dash if there is none.

How do I post POS turnover to the journal per period?

With the POS setting Financial registration type you decide how POS turnover is processed financially: not at all, directly or per period to the journal, an invoice or an order/invoice.

With period postings to the journal, turnover stays linked to the payment method of the receipt: receipts paid fully in cash stay cash and card-paid receipts stay card. With several payment methods on one receipt, turnover and VAT are split proportionally. Use VAT code for period posting and Default general ledger account to set up the grouped posting further.

Previously posted periods do not change automatically.

Why do two reports differ from each other?

Differences between reports usually arise because they are not based on the same criteria.

Always check:

  • the same period;
  • the same VAT display (including or excluding);
  • the same document status;
  • the same department and sales channel;
  • whether orders or only invoices are counted.

Watch out with date filters: an empty end time counts as 23:59:59, so an end date without a time includes the whole day.
