CRM and customer management

CRM with POS: all your customer data in one system

You manage customers, prospects, suppliers and contacts in the same system you sell with. So for every customer you see the agreements, the purchase history and the outstanding invoices, at the point of sale and in the office.

In short

The Count-IT CRM is the relationship management of the same system as your POS, orders and invoices. You record customers, prospects, suspects and suppliers with contacts, addresses, notes, payment terms, credit limit, discount and price list, and those agreements apply automatically at the POS, on orders and in the customer portal.

  • Business and consumer customers in one system
  • Customer notes and outstanding invoices shown as an alert at the POS
  • VAT numbers checked via VIES, company details from the Dutch KVK business register

What is CRM in Count-IT?

CRM (customer relationship management) is recording and maintaining everything you know about your customers: who they are, who your contacts are, which agreements you have made and what they buy from you. In many businesses this is spread across a separate CRM package, the accounting software and the POS. In Count-IT it is one customer record that all your processes use.

That works for business customers and for consumers. A business customer has, for example, payment terms, a credit limit, their own price list and several delivery addresses. A regular customer in your shop collects loyalty points and is recognised by their customer barcode. Both are in the same relationship management.

Because the customer record is linked to your POS, orders and invoices, you also see what a customer has bought and what is still outstanding. When you select a customer at the POS, Count-IT can immediately warn you about a note, overdue invoices or an exceeded credit limit.

Features

Everything about your customers in one place

Settings determine which fields and features you use.

Customers, contacts and addresses

Record customers and suppliers with contacts, multiple delivery addresses and customer or supplier groups. Tabs show addresses, contacts, notes, sales and integrations.

Prospects and sales managers

Distinguish between customers, prospects and suspects. Assign contacts to a sales manager and filter on it; for new contacts your own user can automatically become the sales manager.

Price agreements per customer

Give a customer a fixed discount, their own price list or direct customer prices. These apply automatically at the POS, on orders and in the customer portal.

Credit limit and payment terms

Record payment terms, credit limit and VAT treatment per customer. The POS shows an alert for outstanding invoices: always, only when the limit is exceeded or only for overdue invoices.

Notes as a POS pop-up

Notes on a customer can appear as a warning as soon as you select that customer at the POS, for example an agreement or a point of attention.

Loyalty points and gift cards

Let customers collect points per purchase and redeem them as a discount. You set the value per point, the rounding and whether discounts and campaigns earn points. Gift cards are issued with or without a barcode.

Customer portal

Customers log in to place orders, view orders and invoices, pay online and see their mandates. A permission group determines what new portal users may do.

Integrations for customer data

Check VAT numbers via VIES, retrieve company details from the Dutch KVK business register and exchange subscribers and groups with MailerLite for your newsletter.

How it works

Recording a customer

  1. Add

Go to Relations, choose Customers or Suppliers and add a contact, or look up a Dutch business customer in the KVK business register.

  2. Enter details

Enter name, contact and address details. A VAT number is checked for format and check digit and then via VIES.

  3. Record agreements

Record payment terms, credit limit, VAT, discount and any price list, and add contacts and delivery addresses.

  4. Use

Select the customer at the POS, on a quote or order, or give them a login for the customer portal. The agreements apply everywhere.

Frequently asked questions

Questions about CRM and customer management

Does Count-IT have a CRM with a POS?

Yes. The Count-IT relationship management is part of the same system as the POS, orders and invoices. Customer details, price agreements and outstanding invoices are therefore immediately visible when you select a customer at the POS.

Can I keep track of prospects and suspects?

Yes. With the setting Use account types you distinguish between customers, prospects and suspects. They are in the same relationship management, with contacts, addresses, notes and a sales manager.

How do I give a customer their own prices or discount?

With a direct customer price on the product, a price list linked to the customer or a fixed discount on the customer. A direct customer price takes precedence over all price lists. After setting it up, test a transaction with that customer.

Does Count-IT check a customer's VAT number?

Yes. Count-IT first checks the format and, where available, the check digit for the selected country, and then online via VIES. If only the online check does not confirm the number, Count-IT can ask whether you want to continue anyway.

Can I show a warning when I select a customer at the POS?

Yes. With Customer notes as POS pop-up, the customer's notes appear as soon as you select them. The outstanding invoices pop-up warns always, only when the credit limit is exceeded or only for overdue invoices.

Can I manage B2B and B2C customers in the same system?

Yes. Business customers with payment terms, credit limit and price lists and consumers with loyalty points are in the same relationship management. Settings let you decide, for example, whether the name field is a company name or whether you record first and last name separately.

How do loyalty points work in Count-IT?

A customer collects points per purchase and redeems them as a discount; this can also happen automatically at checkout, optionally only above a threshold amount. You set the value per point, how points are earned, the rounding and a maximum per transaction. To collect points, a customer must be linked to the sale.

Can I link my customers to my newsletter?

Yes, with the MailerLite integration. Count-IT exchanges subscribers and groups in both directions, matching on email address. So you no longer need to export and import customer lists.
