Reports

Reports and dashboard for revenue, margins and stock

See what you sell, what it earns and where your money is. POS, orders, invoices and stock are in one system, so your reports come from the same data.

In short

Count-IT has a dashboard and reports for revenue, margins, sales analysis, stock value, stock turnover, write-offs, VAT and cash differences. You view the figures per product, product group, supplier, payment method, sales channel or department, export to PDF or Excel and, if you wish, receive POS transactions and invoices by email every day.

  • Dashboard with revenue, POS status, orders, invoices and alerts
  • Sales analysis based on POS receipts, orders, invoices or a combination
  • Report on unusual employee activity, also as a dashboard block

What are reports in Count-IT?

Reports give you an overview of your business: how much revenue you make, which products sell well, what your margin is and how much money is tied up in stock. Because the POS, orders, invoices and stock are one system in Count-IT, you do not need to combine data from different programs.

It starts with the dashboard. Depending on your permissions, it shows blocks with revenue, POS status, invoices, orders, tasks, repairs, synchronisation errors and notifications. A monthly target shows how you are doing. For the details you open the reports: from a revenue PDF per period to a sales analysis per product.

Which reports you see depends on your plan and your user permissions. Light is meant for simple checkout, with the dashboard and basic reports on your POS sales; margin reports, VAT reports, stock reports, financial overviews such as invoices and outstanding items, and production and delivery lists are part of the Full plan. With user permissions you also decide who sees what: an employee can use the POS without seeing margins, while the owner sees everything. If you want to process the figures further, you export them, or send revenue to your accounting via an integration such as Exact Online.

Features

Which reports are available

Filters let you choose period, department, VAT display and source, so you compare like with like.

Revenue and dashboard

View revenue and transactions per period, with a breakdown by weekday and a revenue PDF for a chosen period. The dashboard compares rolling months and years and shows your monthly target.

Margins

Count-IT calculates the margin as a margin on the sales price or as a mark-up on the purchase price, and you choose whether POS receipts, orders or invoices count.

Sales analysis

Analyse sales per product or product group, based on sales invoices, sales orders, POS transactions or a combination, without counting POS sales twice. Show the current stock for a product as well.

Stock value and turnover

See your stock overview and stock valuation, how fast products turn over and what you have written off, for example due to breakage or shrinkage. Together with stock management you know what to reorder. Stock reports are part of the Full plan.

Cash counts and cash differences

Saved cash counts appear in the cash count overview, with printout and export. Cash differences also appear in the cash flow report.

Unusual employee activity

The Suspicious employee activity report shows unusual actions per employee, such as cancelled receipts and payments, deletions, discounts and price changes.

VAT, invoices and outstanding items

There are VAT reports for the Netherlands and Germany, and overviews of invoices and outstanding items. If you wish, POS revenue is posted to the journal per period.

Export and daily email

Export reports and overviews to PDF, Excel or CSV. Count-IT can send POS transactions and sales invoices automatically by email every day, for example to your accountant.

How it works

From sale to insight

  1. Sell and record

Every POS receipt, order, invoice and stock movement is recorded in Count-IT, with product, employee, department and payment method.

  2. Check the dashboard

The dashboard shows the key figures and alerts, only the blocks you have permission for.

  3. Choose and filter a report

Open a report, choose period, source and grouping, and add a totals row at the top if you wish.

  4. Share and process

Download a PDF or Excel file, or let the daily export go to your accountant automatically.

To be fair

What the reports do not do (yet)

So you know in advance whether it fits.

  • VAT reports are available for the Netherlands and Germany. If you do not see the VAT report, we activate it on request.
  • The margin is only as reliable as your purchase prices: without a current purchase price on a product, the margin is not correct.
  • An Excel export contains at most 10,000 records, or 20,000 for POS transactions; choose CSV for larger selections.
  • A sales analysis based on stock movements shows quantities only, not amounts.
Frequently asked questions

Questions about reports

Which reports does Count-IT have?

Depending on your plan and your permissions, among others revenue and transactions, sales per product, product group, supplier, payment method or sales channel, margins, cash flow and cash differences, invoices and outstanding items, stock overviews and stock valuation, order suggestions, delivery and production lists and customer, commission and supplier reports.

Can I see revenue per employee or per location?

Yes. Departments let you separate revenue per location, for example, and reports show revenue per product, product group and employee. The Suspicious employee activity report also shows unusual actions per employee.

Can I export reports to PDF or Excel?

Yes. You export many reports and overviews to Excel or CSV, and you can also download or view reports such as the Sales analysis as a PDF. An Excel export contains at most 10,000 records, or 20,000 for POS transactions.

Can my accountant receive the figures automatically?

Yes. Count-IT can send an export of POS transactions and of sales invoices by email automatically every day. If your accountant uses an accounting package, you can also synchronise invoices and payments via an integration.

How does Count-IT calculate the margin?

According to the Margin calculation setting: as a margin on the sales price or as a mark-up on the purchase price. You also decide whether POS receipts, orders or invoices count. Keep the purchase prices of your products up to date, otherwise the margin is not reliable.

Does Count-IT have a VAT report?

Yes, in the Full plan there are VAT reports for the Netherlands and Germany. If you do not see the VAT report under Reports, ask us to activate it.

Why do two reports show different figures?

Usually they are not based on the same data. Check that period, VAT display (inclusive or exclusive), document status, department and sales channel are the same, and whether orders or only invoices are counted. More is explained in the knowledge base on reports.

Which reports are in Light and which are in Full?

Light (€35) is meant for simple checkout and includes the dashboard and basic reports on your POS sales. Margins, VAT reports, stock reports such as stock valuation, turnover rate and write-offs, financial overviews such as invoices and outstanding items, and production and delivery lists are part of Full (€69). Both prices are per POS per month, excl. VAT. Compare the plans on the pricing page.
