Invoicing

Invoicing from your POS, orders and subscriptions

Create invoices from an order, the POS or a subscription, send them with a payment link or via Peppol and match payments with your bank file. Your accounting software receives the data through an integration.

In short

Invoicing in Count-IT creates sales invoices and credit notes from orders, POS sales on account and recurring processes, with the VAT taken from your products and customer details. You send invoices by email with a payment link or as an e-invoice via Peppol, collect by direct debit with a mandate and match payments with an imported bank file, confirming every suggestion yourself.

  • Draft and final, credit notes and three reminder stages
  • Bank import (CAMT.053, MT940) with suggestions; nothing is booked automatically
  • Integrations with Exact Online, e-Boekhouden.nl, Moneybird and more

What is invoicing in Count-IT?

Invoicing is drawing up, sending and following up invoices until they are paid. In Count-IT it is not a separate program: an invoice is created from what you have already recorded. A sales order becomes an invoice, sales on account at the POS are combined on a consolidated invoice and a subscription creates its own invoice line at the right moment.

An invoice starts as a draft you can still change. Once you make it final, it is administratively closed and any change goes through a credit note. That keeps your invoice numbering consecutive and your records verifiable. VAT, price, discount and payment terms come from your products, price lists and customer details, for example a customer with their own VAT code for 0% within the EU or reverse-charge VAT.

After sending, you follow up the payment: with a payment link, a direct debit, payment reminders or by matching your bank file. The invoice data goes to your accounting software through an accounting integration, so you do not enter it again there.

Features

From invoice to payment

Settings and user permissions determine which features you use.

Invoices and credit notes

Create an invoice manually or from an order, quote or the POS, including as a partial invoice. You create a credit note from the original invoice, after which Count-IT can match the two automatically.

Payment links and direct debit

Send invoices with a payment link through an online payment provider such as Mollie or Pay. With a valid customer mandate you collect invoices by direct debit.

Reminders

Set for each stage after how many days an invoice is ready for reminder 1, 2 or 3. When sending, Count-IT picks the template of the next level.

Recurring and on account

Sales on account are periodically combined on one consolidated invoice per customer, with the customer's PO numbers merged. Subscriptions and recurring services create their own invoice lines for the next period.

Matching bank files

Import CAMT.053, MT940/STA or the ABN AMRO export. Count-IT suggests an invoice for each transaction based on invoice number, amount and IBAN, among other things; you confirm or ignore.

E-invoices via Peppol

Send sales invoices as e-invoices over the Peppol network with the Scrada integration. Count-IT looks up the recipient's Peppol ID and shows the delivery status.

Integration with your accounting

Synchronise invoices, payments and contacts with Exact Online, e-Boekhouden.nl, Moneybird, Visma eAccounting, Uniconta or SnelStart, depending on the setup.

VAT check and VAT report

Count-IT checks customers' VAT numbers for format and check digit and then via VIES. There is a VAT report for the Netherlands and Germany.

How it works

A sales invoice in five steps

  1. Create

Choose Add invoice or create the invoice from an order, the POS or a recurring process.

  2. Check

Check customer, date, payment terms, lines, VAT, price, discount and any order reference.

  3. Finalise

Make the invoice final once it is correct. After that you only correct it with a credit note.

  4. Send

Send it with the right email template, optionally with a payment link, or as an e-invoice via Peppol.

  5. Process the payment

Record the payment, match it with your bank file or let it synchronise through your accounting integration.

To be fair

What Count-IT does not do (yet)

So you know in advance whether it fits.

  • Count-IT sends invoices via Peppol; receiving invoices via Peppol is not possible.
  • The bank import is a file import, not a live bank connection. A PDF statement is only suitable for checking.
  • Count-IT does not book bank transactions automatically: you confirm every suggestion yourself.
  • Invoicing is part of the Full plan; Light is only meant for simple checkout at the POS.
Frequently asked questions

Questions about invoicing

How do I create an invoice from an order?

Open the order and choose invoice. Count-IT only offers the quantities that have not been invoiced yet. If you invoice part of it, the remaining quantities stay open for a next partial invoice. A payment already recorded on the order can be linked to the invoice.

Can I send an invoice with a payment link?

Yes. You need an active online payment provider such as Mollie or Pay., a payment method set up for it, permission for online payment on invoices and an email template with the payment action. A fully paid invoice does not get a new payment link.

How do I match invoices with a bank file?

On the Match invoices page, import a CAMT.053 file (XML or ZIP), MT940/STA or the TAB, XLS or XLSX export from ABN AMRO. Count-IT makes a suggestion for each transaction. You check counterparty, description, amount and invoice and choose Match or Ignore. Transactions that were already imported are recognised.

Can I send e-invoices via Peppol?

Yes, through the integration with Scrada. Enter the Peppol ID of your own company and switch on Send invoices via Peppol. Count-IT cannot receive invoices via Peppol.

Which accounting packages does Count-IT integrate with?

Among others Exact Online, e-Boekhouden.nl, Moneybird, Visma eAccounting, Uniconta and SnelStart. What exactly is exchanged, such as contacts, invoices and payments, depends on the package and the setup. View all integrations.

What is the difference between a draft invoice and a final invoice?

A draft invoice can still be changed and has usually not been processed financially yet. A final invoice is administratively closed; a change then goes through a correction or credit note.

Can I invoice subscriptions on a recurring basis?

Yes. For a subscription with automatic renewal, Count-IT creates an invoice line for the next period at the billing moment, which is added to an invoice in the next automatic invoicing run. While entering it you see the next ten billing moments with period and amount.

Can I collect invoices by direct debit?

Yes. With the setting Allow mandate payment you collect through a valid mandate from the customer. Customers also see their mandates in the customer portal.
