Repairs and work orders

Repair software and work orders in your POS system

Take in a repair at the counter, follow its status until the device is ready for collection and invoice the parts used without retyping anything. Work orders for jobs at the customer's premises are recorded with your own fields, in the same system as your point of sale, products and customers.

In short

With the Count-IT repair module you record the customer, the device, a deadline, the workstation, the technician and the status for each repair, together with notes, files and the products used. A repair label with a barcode makes the repair easy to find with a scanner, at the point of sale too. Work orders also have their own types with configurable fields.

  • Your own statuses, such as in progress or ready for collection
  • Repair labels and a repair form as PDF, with a signature for approval
  • Part of the Full plan: view the plans

What does the Count-IT repair module do?

Repair software keeps track of which device from which customer has come in, what needs to be done, who is working on it and when it must be ready. In Count-IT this is not a separate program next to your POS: the repair is linked to the customer in your customer database, the parts come from your product management and one click turns it into an invoice.

A repair gets a number, a description and one or more devices. If you work with bicycles, phones or laptops, you can give the devices field a name of your own. You set a deadline, choose a workstation and a technician and use statuses to track how far the repair has got. Notes, such as a phone call with the customer, and files such as photos of the damage are stored with the repair itself.

Work orders are meant for work you carry out to a fixed pattern, for example an installation or a service visit. For each work order type you decide which fields appear on the work order. This makes the repair module suitable for phone and computer repairers, bicycle shops and service and installation businesses, but also for a specialist shop that takes in repairs alongside its sales.

Features

From intake to invoice

With settings you tailor the repair module to the way you work.

Taking in a repair

Record the customer, a description of the problem and the device, with several devices per repair if needed. Register the serial number so you can later find out which device it was. The customer can sign on screen for approval.

Status, deadline and planning

Work with statuses such as new, in progress, on hold, ready for collection and finished, or create your own. Give each repair a deadline, a technician and a workstation; you can set default values in advance. When the repair is ready, the customer can automatically receive a notification by email or SMS.

Parts and labour

Add the parts and labour used as product lines, with price, discount and VAT. Count-IT calculates the total amount of the repair.

Scanning with a barcode

Each repair has its own barcode with a configurable prefix. Scan it at the point of sale and Count-IT shows the repair with customer and amount, and you open it straight away. The Action after scanning setting determines what happens.

Repair labels and repair form

Print a repair label with the repair number, customer name and barcode to stick on the device. Download the repair form as a PDF, with signature, or email it to the customer using your own email template.

Invoice straight away

Create an invoice from the repair with the products and labour you have recorded. Count-IT shows whether a repair has not been invoiced, has been partly invoiced or has been fully invoiced.

Work orders with your own fields

Create work order types, for example installation or maintenance, with your own headings, text fields and checkboxes. A work order has a customer, an execution date, product lines and a signature.

Finish and lock

A finished work order can no longer be changed. If you like, Count-IT automatically emails the work order to a fixed address when it is finished, for example your accounts department.

How it works

A repair in four steps

  1. Take in

You look up or create the customer, record the device, serial number and problem, and have the customer sign for approval.

  2. Label

You print a repair label with a barcode and stick it on the device, so it is always recognisable in the workshop.

  3. Repair

The technician updates the status, adds notes and the parts used, and sets the repair to ready for collection. The customer can then automatically receive an email or SMS.

  4. Complete

When the customer collects the device, you scan the label, open the repair and turn it into an invoice.

To be honest

What Count-IT does not do (yet)

So you know in advance whether it fits.

  • Fields on a work order are headings, text fields or checkboxes. Drop-down lists or date fields per work order type are not available.
  • Repairs and work orders are part of the Full plan, not Light.
  • You cannot record a down payment or deposit on a repair.
Frequently asked questions

Questions about repairs and work orders

Is Count-IT suitable as a POS system for a repair shop?

Yes. You sell at the point of sale and manage repairs in the same system. A repair is linked to the customer, gets a status, deadline, workstation and technician, and one click turns it into an invoice. With the barcode on the repair label you find the repair again, at the point of sale too.

Can I define the statuses of a repair myself?

Yes. Count-IT starts with statuses such as new, in progress, on hold, ready for collection and finished. You can rename them and add your own. Each status belongs to a type, such as new, in progress, on hold or finished.

What is the difference between a repair and a work order?

A repair is meant for a device that comes in: with device, serial number, status, workstation and deadline. A work order is meant for work to a fixed pattern, such as an installation or maintenance, with fields you put together yourself for each work order type.

How do I create repair labels?

Create a label template for repairs with the right size and the fields you want, such as repair number, customer name and barcode. Connect a label printer, print one test label to check scale and position, and then print your labels.

Can I scan a repair at the point of sale?

Yes. Set a barcode prefix for repairs that does not overlap with the prefixes for receipts, products or customers. When you scan the barcode at the point of sale, Count-IT shows the repair with description, customer and amount, and you open the repair with one tap.

Can I use my own repair numbers?

Yes. With the setting Use custom repair number you define the number format and the padding with zeros. Without that setting, Count-IT uses a sequential number.

Can I invoice from a repair?

Yes. With Create invoice you transfer the products and labour of the repair to an invoice. Count-IT keeps track of whether the repair has not been invoiced, has been partly invoiced or has been fully invoiced. Read more about invoices under invoicing.

Which plan includes repairs and work orders?

Repairs are part of the Full plan, together with inventory management, purchasing and sales orders, among other things. You can try Count-IT free for 30 days.
